Service Admin Executive (KL Based)

Job Responsibilities

Manage daily administrative operations and ensure smooth office activities.

Handle incoming calls, emails, and general correspondence.

Maintain proper filing, records, and documentation.

Assist the sales team with administrative and documentation matters.

Prepare and organize sales-related documents and reports.

Update and maintain customer, agent, and sales records.

Coordinate with internal departments to support sales processes.

Attend to basic enquiries from customers and agents.

Follow up on document submissions and application status.

Coordinate appointments, meetings, and site visits when required.

Job Requirements

Job Responsibilities

Issue billing promptly and ensure efficient collection of payments.

Monitor and follow up on outstanding payments and collection status.

Liaise with bankers, solicitors, purchasers, and end financiers on loan documentation matters (redemption, discharge of title, stamping, loan processing).

Handle correspondence with purchasers, solicitors, and financiers on billing, collections, sub-sales, refinancing, auctions, and related matters. Prepare and submit reports including billing, collection, and purchaser status reports.

Manage documentation and coordination for vacant possession, key handover, utilities applications and related processes.

Maintain proper filing, update records in MHUB & IFCA systems, and ensure compliance with HDA and company policies.


Job Requirements

Diploma or Bachelor’s Degree in any field.

3–5 years of relevant experience in credit control / property development industry.

Proficient in Microsoft Word and Excel; knowledge of MHUB & IFCA is an advantage.

Mandarin speaking is required for communication with clients, solicitors, bankers, and financiers.

Good communication, interpersonal, and analytical skills.

Able to work independently with minimal supervision.

Job Responsibilities

Oversee daily finance and accounting operations, ensuring accurate and timely financial records. Prepare budgets, financial forecasts, management reports, and cash flow monitoring.

Lead and supervise the finance team, providing guidance and support to achieve departmental objectives.

Bachelor’s Degree in Accounting, Finance, or related disciplines. Professional qualifications are an added advantage.

Minimum 5 years of relevant working experience in finance and accounting.

Strong knowledge of financial reporting, budgeting, taxation, and compliance requirements.

Oversee contract administration, tendering, and cost management for maintenance, renovation, and construction projects.

Review quotations, project costing, progress claims, variation orders, and final accounts.

Ensure contract documentation, records, and correspondence are properly maintained and comply with company requirements.

Monitor project costs and contractual matters to ensure effective commercial control and risk management.

Liaise with internal departments, consultants, contractors, and suppliers on contract- related matters.
